 Job Title: Office Manager

Job Summary: 

An Office Manager creates and maintains organization throughout the office and between the various departments within the organization. Responsible for maintaining documents both historical and current. The Office Manager is involved in all aspects of the daily office operations, lending support to all departments.

RESPONSIBILITIES: 

  • Office Management
    • Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring office functions.
    • Manage presentation of office space, answering incoming call, and assume other receptionist duties as required
    • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
    • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
    • Organizes team and client functions, such as lunches, dinners, and events
    • Responsible for all mail services, incoming and outgoing, FedEx, UPS, etc.
  • Marketing
    • Coordinates and maintains information for the website.
    • Creates and maintains a social media presence.
    • Creates press releases when needed.
    • Works with other Teams to create a Jumbo marketing brand.
  • Asset Management
    • Supports the Asset management team when needed.
    • Organization of hard and soft Tenant files.
    • Responsible for coordinating the execution of leasing documents; including putting together leasing packages and obtaining all required signatures in a timely manner.

REQUIRED QUALIFICATIONS:

  • Bachelor’s Degree Required
  • Proficient in Microsoft Office, Excel
  • Strong organizational and communication skills, strong work ethic, ability to work independently.

 Job Title:  BUILDING ENGINEER I

Job Summary: 

Responsible for the operation and maintenance of all building equipment and systems.  Perform scheduled preventative maintenance and unscheduled corrective maintenance, as directed by management. Operates the buildings with a strong focus on energy efficiency. This role reports to the Chief Engineer.

ESSENTIAL JOB FUNCTIONS: 

  • Performs timely preventative maintenance and repairs on all HVAC, electrical and plumbing equipment and systems.
  • Assists property managers with creating the annual operating budget.
  • Works with the Chief Engineer on planning and implementation of capital repairs.
  • Assists in identifying and implementing ECM.
  • Good working knowledge of JCM portfolio including properties, staffing, and all mechanical systems.
  • Familiarity with municipalities, ISD, Fire, Board of Health, Planning board, etc.
  • Optimize the operation of all HVAC, electrical and plumbing equipment and systems through the use of best practices and use of building automation systems.
  • Troubleshoot and repair equipment and system problems so that problems are resolved on the first attempt, in a cost-effective manner.
  • Respond to tenant service requests in such a manner as to reduce work orders and eliminate recurring problems.
  • Communicate effectively with team members, owner, owner’s representative, or supervisor on any work performed and present status of the property and mechanical systems.
  • Foster a work environment that promotes energy conservation and continuous improvement of engineering functions.
  • Comply with safety and environmental procedures, specifically hazardous communications program, lockout-tag out programs, operations and maintenance programs and directives.
  • Oversee all third-party mechanical and service vendors.
  • Inspect common areas, vacant units, and grounds to determine necessary repairs and maintenance, including submitting property inspection reports.
  • Perform all other duties and projects as assigned.

REQUIRED QUALIFICATIONS:

  • Bachelor’s Degree from engineering or technical school.
  • Must have strong work ethic, be able to work independently, and be proactive.
  • Proficiency reading and interpreting drawings, schematics, and wiring diagrams preferred.
  • 5-10 years related work experience required.
  • Must be able to lift 50 pounds as well as work in small spaces, working at heights from ladders, scaffolding, etc.
  • This position may require property reassignment, weekend work, and after-hours availability for emergency calls based on portfolio needs.
  • Experience with Microsoft Office, Building Engines, AVID Xchange, and Yardi a plus.

CERTIFICATIONS:

  • Universal CFC license preferred.
  • Technical degree or certificate in HVAC or a minimum 5 years of related experience

 Job Title: TENANT COORDINATOR

Job Summary: 

Reporting to the Senior Property Manager (SPM), the Tenant Coordinator assists in the management of daily operations of assigned properties with a focus on developing and maintaining strong relationships with all stakeholders (including colleagues, tenants, vendors/contractors, and ownership) and on the repair and maintenance (R&M) of the buildings and grounds to keep them in good physical condition.

ESSENTIAL JOB FUNCTIONS: 

  • Act as a liaison between tenants and Jumbo Capital Incorporated.
  • Assist SPM with:
  • Tenant Management: Communicating property-related matters clearly, consistently, and timely; ensuring requests, including work orders, are addressed timely and in a manner that eliminates recurring problems; organizing and participating in tenant meetings and appreciation events; abstracting leases and updating tenant contact information, certificates of insurance, lease files; coordinating tenant move-ins and move-outs.
  • Inspections: Surveying tenant space, common areas, base building areas, and grounds to ensure high level of maintenance, including writing and submitting property inspection reports and work orders.
  • Building Engineering: Helping Chief Engineer implement preventative maintenance programs for, and repairs of, all HVAC, electrical, plumbing, and life safety equipment and systems.
  • Procurement: Drafting and distributing RFP (request for proposal) documents for the competitive bidding of goods and services, coordinating interviews/meetings, fielding questions, saving/filing all related documents, analyzing proposals.
  • Vendor/Contractor Management: Conducting walk-through/inspections and meetings with vendors; ensuring vendor complies with contract terms, including building rules, and addresses deficiencies; enforcing safety protocols and risk management/insurance requirements.
  • Project Management: In collaboration with Building Engineering, managing all aspects (administrative, technical, operational, etc.) of large R&M and capital expense projects.
  • Accounting: Coding invoices, reviewing general ledger, making accruals, explaining variances to budget, collecting accounts receivable.
  • Budgeting: Developing and drafting annual budgets for operating expense and capital projects and prepare for and participate in budget/business plan review meetings.
  • Reporting: Preparing for and participating in weekly asset performance review meetings with Management and Partners; drafting periodic financial and operational reports.
  • SOPs, O&Ms: Drafting and updating standard operating procedures (SOPs) for the Property Management Department and implementing them as appropriate; drafting operations and maintenance manual (O&M) for each property.
  • Human Resources: Fostering a positive, collaborative work environment to build a cohesive team focused on achieving ownership objectives for each property.
  • Assist Asset Management and Acquisitions/Dispositions Teams as directed by SPM.
  • Perform all other duties and projects as assigned by the SPM.

Qualifications: 

  • Proficiency in Microsoft Office (Outlook, Word, Excel, Power Point).
  • Driver’s license and personal vehicle required for travel around the portfolio.
  • Bachelor’s degree preferred.
  • Experience in commercial real estate a plus.
  • Strong work ethic and collaboration skills.
  • Communicates effectively in both spoken and written word.
  • Keen attention to detail.
  • Analytical, efficient, effective, productive.
  • Self-motivated, proactive, and able to work independently.
